How to Choose Forex CRM Software: A Checklist for Brokerage Operators

The CRM becomes the system your operations, finance, compliance and partner teams live in. These are the questions worth asking before you commit — whichever vendor you choose.

Most brokerages choose their first CRM under time pressure: the licence is coming through, the MT5 server is ready and clients need somewhere to register. A year later, the same tool decides how many people finance needs, how long KYC takes and how many partner disputes land on management's desk.

This guide is the checklist we'd want a brokerage to use when evaluating any Forex CRM software — including ours.

1. Start with your workflows, not the feature list

Every CRM demo shows a dashboard. What matters is whether your daily work fits. Before talking to vendors, write down how these journeys work today:

  • Registration to verified client to funded MT5 account
  • Deposit request to credited balance, and withdrawal request to paid-out funds
  • IB application to first commission payout
  • Client question to resolved ticket

Then ask each vendor to walk through those exact journeys. Gaps show up quickly.

2. Check how deep the MT5 integration goes

"MT5 integration" can mean anything from a nightly report to full account management. Ask specifically:

  • Can the CRM create MT5 accounts into the right group and leverage?
  • Are approved deposits and withdrawals posted to MT5 as balance operations, or does someone do it manually?
  • Does the CRM read trade history, equity and margin from the server?
  • How are the manager credentials stored, and who can use them?

A dedicated API bridge — like our Open API Bridge — keeps the integration in one place instead of scattering it across scripts.

3. Look closely at onboarding and KYC

KYC is where many clients drop out. Check whether compliance can review front and back documents inline, add comments, and see a history of decisions per client. If you expect volume, ask about automatic KYC through an identity-verification provider, and how results are stored on the client record.

4. Payments: follow the money end to end

Payment workflows decide how much manual work finance does. Useful questions:

  • Which payment methods are supported — crypto wallets, local methods such as UPI, bank transfers, card PSPs?
  • How many PSP integrations are included, and what does adding one involve?
  • Are pending and processed requests separated, with payout details visible per request?
  • Can transaction history be exported for reconciliation against PSP and bank statements?

5. IB and partner programmes

If partners bring a large share of your clients, the IB module deserves as much attention as the client area. Look for unique referral links, multi-tier structures with separate rates, commission calculation from actual MT5 volume, a partner area where IBs can see their own numbers, and a separate queue for IB withdrawals. See how this works in our IB management module.

6. Access control and audit trail

A CRM holds identity documents and controls money movement. At minimum, expect:

  • Role-based access so finance, compliance and support each see only what they need
  • The ability to limit sensitive actions, such as withdrawal approval, to specific roles
  • An audit log of approvals, KYC decisions and permission changes
  • Credentials for MT5, PSPs and KYC providers kept on the server, never in the browser

7. White-label and client experience

Your clients will judge your brokerage by the portal they log in to. Confirm you can use your own brand, colours and domains for the client and partner areas, and that you can switch modules on and off as your offering changes. Our white-label options are built around that.

8. Implementation, pricing and support

Be wary of fixed go-live promises made before anyone has seen your setup. Real timelines depend on MT5 server access, PSP and KYC provider approvals and your team's availability. Ask instead for a clear process — discovery, configuration, integration, testing, deployment, support — and what each step needs from you.

On pricing, check what is included per plan (managers, PSPs, APIs, KYC automation), whether a setup fee applies, and what support looks like after launch.

The short checklist

Before you sign, confirm that the CRM:

  • Fits your real onboarding, payment, IB and support journeys
  • Creates MT5 accounts and posts balance operations through a controlled integration
  • Has a structured KYC queue, with automation if you need it
  • Supports your payment methods and exports for reconciliation
  • Runs multi-tier IB programmes with a partner area
  • Offers role-based access and an audit trail
  • Can carry your brand and domains
  • Comes with a clear implementation process and ongoing support
